Introduction

People who studied in India or another Hindi-speaking environment may have academic documents that are written partly or entirely in Hindi.

When these documents need to be submitted to an Australian university, employer, professional organisation or government body, an English translation may be required.

Which academic documents might need translation?

Depending on the purpose, you may need to translate:

  • School certificates

  • University degrees

  • Diplomas

  • Mark sheets

  • Academic transcripts

  • Examination certificates

  • Training certificates

  • Course completion certificates

  • Statements of results

  • Other educational records

The requirements depend on the organisation requesting the documents.

Certificate vs transcript: what's the difference?

An academic certificate generally confirms an educational qualification or achievement.

A transcript or marksheet usually contains more detailed information about the subjects studied and results obtained.

For example, a transcript might include:

  • Subject names

  • Grades or marks

  • Credits

  • Examination results

  • Course dates

  • Student details

  • Institution details

Because transcripts can contain a large amount of information, they may require more translation work than a simple certificate.

Why does academic terminology matter?

Academic documents often contain terminology that has a specific meaning within an educational system.

A translator should therefore consider the context rather than translating individual words in isolation.

For example, the name of a qualification, subject or examination may have an established English equivalent—or it may need to be translated descriptively if there is no direct equivalent.

A translation should not turn an overseas qualification into an Australian qualification simply because the names appear similar.

The role of the translation is to communicate what the original document says.

What about grades and marks?

Numbers and grades need to be reproduced carefully.

A translator should not automatically convert an overseas grading system into an Australian grading system unless the organisation receiving the document specifically requires or authorises such a conversion.

Translation and academic equivalency assessment are different processes.

The translator translates the information. An educational institution or assessment authority may separately determine how an overseas qualification or result compares with Australian requirements.

What if the certificate is partly in English and partly in Hindi?

This is common.

Some academic documents may contain:

  • English headings

  • Hindi subject names

  • Hindi institutional information

  • English abbreviations

  • Hindi stamps

You can still provide the complete document to the translator.

The translator can determine which parts require translation and how the document should be presented in English.

Do you need a certified translation?

Check the requirements of the organisation receiving your academic documents.

A university, professional registration body, employer or government department may have different requirements.

If the organisation specifically asks for a certified translation, make sure the translation provider can supply the certification required.

Should I send the original certificate?

For an initial quotation, a clear digital copy is often sufficient.

However, whether an original or certified copy is subsequently required depends on the receiving organisation.

Always follow its instructions.

What makes a good copy?

Academic documents often contain small text, tables and numbers, so image quality is particularly important.

When scanning or photographing a transcript:

  • Include all pages.

  • Make sure tables are readable.

  • Keep the page flat.

  • Avoid shadows.

  • Avoid glare.

  • Include stamps and signatures.

  • Make sure small numbers and grades are visible.

Translation is not the same as qualification assessment

This distinction is important.

If an Australian organisation asks you to provide an English translation of an Indian qualification, the translator translates the document.

If the organisation also needs to determine whether the qualification meets a particular Australian educational or professional standard, that assessment is a separate matter.

A translation service should not represent a foreign qualification as equivalent to an Australian qualification unless the relevant authority has made that determination.

Before sending your academic documents

Check what the receiving organisation requires and provide the translator with:

  1. The complete document.

  2. The purpose of the translation.

  3. Any certification instructions.

  4. Your deadline.

  5. Any existing English terminology or names that the organisation has asked you to use.

This gives the translator the information needed to prepare an appropriate translation.

If you have Hindi academic certificates, marksheets or transcripts that need to be translated into English, a professional Hindi to English translator can assess the documents and explain the translation process.
